# ERP, PIM or OMS: what does a growing brand need?

- Description: Choose systems by the work they remove. Product inconsistency points to PIM, complex fulfillment to OMS, and recurring financial reconciliation to ERP.

A growing brand rarely needs a PIM, OMS and ERP at the same time. A PIM becomes useful when product information diverges between channels; an OMS when orders must be allocated across stocks; an ERP when finance, purchasing and inventory require routine manual reconciliation. Start with a problem you can quantify in repeated work.

## The benchmark

| System | The question it answers | Useful trigger |
| ----------------------------------- | ---------------------------------------------------------------------- | ---------------------------------------------------------------------- |
| PIM: product information management | Which product information belongs on which channel, in which language? | Inconsistent listings, frequent launches, translations |
| OMS: order management system | Where should this order ship from, and what is its status? | Multiple warehouses, stores or marketplaces; split shipments |
| ERP: enterprise resource planning | What are inventory, purchasing, margins and accounts worth? | Multiple entities, complex purchasing, recurring manual reconciliation |

Shopify already covers part of order management. The source's October 2026 snapshot lists two active locations on Starter, 10 on Basic, Grow and Advanced, and 200 on Plus. With multiple locations, order routing can assign orders through rules, refined using location metafields such as warehouse capacity. Verify current plan limits before buying a separate OMS.

A product-discovery feed needs consistent identifying and commercial facts, such as ID, title, description, URL, brand, seller name, image, availability and price. Treat this as a working data inventory rather than an exhaustive mandatory-field list; the accepted schema and enabled checkout or advertising integration determine the actual requirements. A central product repository can feed new channels without retyping every attribute.

## The rule

Buy the system that removes the most expensive operational problem, rather than the one associated with your company size. No universal revenue threshold makes an ERP necessary. Shopify's ERP guide emphasizes scattered information and routine manual reconciliation. A 2024 Gartner projection warned that, by 2027, more than 70% of recently implemented ERP initiatives would fail to meet all their objectives. That is a forecast with a defined cohort, not a claim that 70% of all ERPs fail completely.

For a single-entity direct-to-consumer brand, the sequence may be product information, physical flows, then business-wide management. Manufacturing, wholesale or multiple entities can justify starting with ERP.

An artisan footwear brand observed by the authors discovered inconsistent attributes and misplaced sizes during its ERP import. It canceled the import and reversed the flow: products now originate in the ERP, serving as its product repository, then flow to Shopify. A small jewelry brand in Le Club instead keeps materials, supplies and purchase invoices in Airtable, synchronizing daily by SKU. Whatever the tool, someone must own the data.

## The steps

1. **Measure the pain.** For one month, log copied listings, manual stock corrections, reassigned orders and reconciled accounting entries. Add up the hours and failure costs.
2. **Assign authority.** Complete the table below for each data type. Two systems independently controlling the same value invite disagreement.
3. **Assess catalog complexity.** If every channel or language requires rewriting titles, attributes and images, prioritize PIM. Check [AI-feed requirements](https://conversion.club/playbook/how-do-i-get-my-catalog-ready-for-purchases-through-chatgpt-and-google/) and any relevant [digital product passport requirements](https://conversion.club/playbook/what-does-the-digital-product-passport-change-for-my-product-page/) for the products and markets concerned.
4. **Exhaust native routing first.** A dedicated OMS becomes useful when Shopify locations and rules no longer cover the operation, such as multiple physical stores alongside an external warehouse.
5. **Bring finance into the decision.** If month-end depends on corrected exports or multiple entities, involve the accountant. Use the [site-to-profit-and-loss framework](https://conversion.club/playbook/how-do-i-connect-my-site-to-my-p-l/) to specify the problem. Local invoicing obligations need local assessment; a French timetable would not make ERP necessary worldwide.
6. **Interrogate the integration.** Which fields move, in which direction, at what frequency? Does the connector use APIs, webhooks—notifications triggered by changes—or scheduled CSV files? Who maintains it when Shopify changes? How long will catalog cleanup take? Compare license, integration, connectors and staff time against [current app costs](https://conversion.club/playbook/how-much-do-your-shopify-apps-cost-each-year/), then put a dated project and success measure in the [roadmap](https://conversion.club/playbook/how-do-you-build-an-e-commerce-roadmap/).

| Data | Authoritative system today | Authoritative system tomorrow |
| ------------------------------------ | -------------------------- | ----------------------------- |
| Product titles, attributes and media | To complete | To complete |
| Prices and promotions | To complete | To complete |
| Available stock by location | To complete | To complete |
| Order and shipment status | To complete | To complete |
| Customer record | To complete | To complete |
| Sale accounting entry | To complete | To complete |

## The pitfall

An ERP is not automatically the answer to weak product data. It manages inventory, orders and finance; taxonomy, rich media and channel-specific product content may require a PIM. Conversely, one ERP can sometimes serve both roles if the actual requirements fit.

Integration can defeat an otherwise reasonable purchase. Another brand chose its ERP during a Shopify migration after agreeing the budget, then discovered it lacked ecommerce design and webhooks. Avoiding a structured system by piling up apps creates the opposite problem: more connectors to monitor.

## What to tell your team

> “We spend 35 hours monthly copying product information between Shopify, a marketplace and ad feeds; 12% of SKUs have a wrong price somewhere. A $900-a-month PIM comes first. ERP waits until the second entity.” All figures and that sequencing example are fictional.
